The Before: Word Docs, Manual Entry, and a Process That Couldn't Scale

Before Admiin, Logicca's binding pack workflow ran entirely on Microsoft Word and manual data entry. There was no automation, no intelligence, and no shortcut. Just a multi-step process that a skilled admin person had to execute from scratch, every single time, for every single client.

The workflow began when a manager issued what the team called "binding instructions" — an internal document containing client details and lodgement requirements. From there:

  1. Open Word → manually write a cover letter, adjusting the language and structure depending on client type (individual, trust, partnership, company group)

  2. Manually enter all client names, entity types, and contact details

  3. Manually build a lodgement table — due dates, amounts payable, and refund figures — all keyed in by hand

  4. Log into the ATO portal separately, download the payment slip, save it, and attach it to the pack

  5. Pull all relevant tax return PDFs from storage

  6. Manually combine every document into a single PDF pack

  7. Email the completed pack back to the accountant for review

  8. If amendments were needed — reopen Word, make changes, rebuild, resend

  9. Once approved, issue the final pack to the client

Every single step was a potential failure point. Wrong entity name. Incorrect amount. Missing payment slip. Wrong cover letter tone for the client relationship. Version control issues. The wrong PDF attached. An email going to the wrong person.

Darragh Boylan, now an accountant at Logicca who came up through the admin team, experienced this process daily:

"It was very archaic, very old style. Generating cover letters manually by inputting information — it was very, very time-consuming and causing a lot of admin time to be put into the firm."

"There was lots of issues that could come up between having to adjust the paragraphs and the letter to make sure it's suitable for the client. It was not fun, let's just put it that way."

For a simple individual client, this process took 10–15 minutes. For a group client spanning multiple entities — trusts, partnerships, companies — it stretched to 20 minutes or more. Across 4,000+ clients, that's an estimated 1,400–1,500 hours of admin time per year, spent almost entirely on document assembly.

And it got worse as tax season peaked. The more lodgements that stacked up, the harder the team hit their capacity ceiling.

The Decision to Change

Darragh was introduced to Admiin through Brad, one of Logicca's directors, who was working directly with the Admiin team during the platform's development.

"When they suggested the idea that we could have a platform that was going to allow us to create these procedures in a more digital format — that had information that was going to populate into cover letters — it was so good. We realised we were missing out."

For Darragh, it wasn't just about fixing a painful process. It was about keeping pace with where the industry was heading:

"With AI these days, technology is improving. As a firm, we need to improve and progress with that, otherwise we'll just get left behind."

The After: Upload, Review, Send

For an individual client: Upload the tax return → Admiin reads the document and automatically generates the cover letter, populates client details, calculates amounts payable and refundable, pulls the PRN, and sets due dates → Review → Send.

For a group client with multiple entities: Upload all documents → Allocate each document to the correct entity within the one workflow → Add signatures → Admiin assembles the complete binding pack with the correct cover letter and payment details for each entity → Send.

In Darragh's words:

"All you need to do is just search the client in the system, upload, and then it reads what's payable, refund, the due dates. And then once that information is generated, you just click send and that's it."

One detail he flagged as particularly meaningful:

"We don't have to download ATO payment slips anymore. It now reads the PRN on the document — which is great for us."

No Word. No manual data entry. No separate ATO portal login. No PDF combining. No email chain for review and approval. The entire pre-Admiin stack — gone.

Clients receive access to a portal where they can review outstanding documents, sign digitally, and choose their preferred payment method: pay in full, pay in instalments up to 12 months, defer to the due date, or pay directly to the ATO.

The capacity gain is what compounds. With volume spiking at lodgement season, the team can now process four times as many bindings in the same hours — without adding headcount.

The Client Experience

The improvement didn't stop at the admin team. Logicca's clients moved from receiving manually assembled PDF packs, with all the delays and inconsistencies that came with them, to a clean, digital portal experience with flexible, transparent payment options.

"Most of it is generally good — I would say about 90%. They have been more or less happy with the fact that it's easier for them to sign digitally, and making payments that bit easier because we give them more options."

"It's making their life easier so they don't have to worry too much about payments and things like that. They can sign, they can review all of their documents outstanding — it's bringing different aspects and putting it all together. That's what clients are mostly happy about."

For a firm that has built its reputation on long-term client relationships, that improvement in experience matters beyond the numbers.

Implementation: What to Expect

Logicca's experience as an early adopter means they worked through the developmental challenges so other firms don't have to. For firms implementing Admiin today, Darragh's advice is direct:

"All they just need to do is create the workflows they need to set out — is everybody going to be sending stuff in Admiin, or are you going to leave it to your admin team? It's all about establishing who is going to be the main point of issuing documents to clients to sign and pay. That will make their life so much easier."

"Life should be simpler and easier for firms out there, and the integration should be simple."

The single most important step before go-live: decide your workflow and ownership before you touch the platform. Everything else follows from that.

What's Next for Logicca

A Xero integration is in progress that will create a live sync between client records — any update made in Xero flows automatically into Admiin, eliminating duplicate data entry across systems. A client rewards program is also in development, designed to incentivise timely payment and deepen the firm-client relationship.
